Privacy Policy

This document sets out how Kopi Logic Pte Ltd collects, holds, uses, and shares personal data — and the choices available to individuals whose information we hold. We have tried to write it plainly, without unnecessary jargon.

1. Who We Are

Kopi Logic Pte Ltd is a Singapore-registered consultancy that assists organisations in integrating AI tools and processes into their operations. Our registered address is 18 Cross Street, #08-04, Singapore 048423. We are the data controller for personal data collected through this website and through our client engagements.

If you have any questions about this policy or about your data, you may reach our data officer at [email protected] or by calling +65 6483 2917.

2. Personal Data We Collect

We collect only the information that is reasonably necessary for us to provide our services or to respond to your enquiries. This may include:

  • Contact details — your name, email address, telephone number, and job title, provided when you complete our enquiry form or correspond with us directly.
  • Organisation information — the name, industry, and size of your organisation, shared during the course of an engagement or discovery session.
  • Technical data — basic information collected automatically when you visit our website, including your IP address, browser type, pages visited, and session duration, gathered through standard server logs.
  • Project and operational data — documents, process descriptions, and workflow notes shared by clients during consultancy engagements, held solely for the purpose of delivering agreed services.

We do not collect sensitive personal data such as national identification numbers, financial account details, health information, or biometric data through this website.

3. How We Use Your Data

We use personal data for the following purposes:

  • To respond to enquiries submitted via our contact form or by email.
  • To deliver and manage consultancy services contracted with clients.
  • To prepare written reports, process maps, and other deliverables as agreed.
  • To maintain records of work performed, in line with our documentation standards.
  • To comply with applicable laws and professional obligations under Singapore law.
  • To send relevant updates or follow-up correspondence where a client relationship exists — we do not send marketing material to individuals who have not requested it.

We process data on the basis of legitimate interest in managing our business operations, contractual necessity where a formal engagement is in place, and legal obligation where applicable.

4. Data Sharing and Disclosure

We do not sell, rent, or trade personal data. We share information only in the following limited circumstances:

  • Service providers — third-party vendors (such as document management, cloud hosting, or scheduling tools) who process data on our behalf under appropriate agreements. We engage only providers that maintain reasonable data security standards.
  • Professional advisers — accountants, lawyers, or insurers, where necessary for the conduct of our business and under confidentiality obligations.
  • Legal requirements — where we are required to disclose information by applicable Singapore law, court order, or at the request of a lawfully authorised public authority.

Where client project data is shared, we do so only with personnel directly involved in the relevant engagement and only to the extent necessary to complete the work.

5. Data Retention

We retain personal data for as long as it is needed to fulfil the purposes described above and to comply with our legal and contractual obligations.

  • Enquiry records from website contacts are held for a period of twelve months, after which they are reviewed and deleted if no engagement followed.
  • Client engagement records, including written deliverables and correspondence, are retained for seven years following the conclusion of an engagement, in line with standard business record-keeping practice in Singapore.
  • Website technical logs are held for a rolling period of ninety days.

Where data is no longer required, we dispose of it in a manner that prevents reconstruction or reuse.

6. Cookies and Website Tracking

Our website uses a small number of cookies to support basic site functionality and to understand aggregate patterns of use. We do not deploy advertising cookies or behavioural tracking cookies. Further information on how we use cookies is set out in our Cookie Policy.

You may adjust your cookie preferences at any time using the cookie settings notice displayed when you first visit the site.

7. Data Security

We take reasonable technical and organisational measures to protect personal data against accidental loss, unauthorised access, and unlawful processing. These include encrypted communications, access controls on internal systems, and a practice of sharing client data only on a need-to-know basis within our small team.

No transmission over the internet is entirely without risk. If you have concerns about sending sensitive information, please contact us to discuss an alternative arrangement.

8. Your Rights Under Singapore Law

Singapore's Personal Data Protection Act 2012 (PDPA) provides individuals with certain rights in relation to their personal data held by organisations. These include the right to:

  • Request access to personal data we hold about you.
  • Request correction of personal data that is inaccurate or incomplete.
  • Withdraw consent for certain uses of your data, where processing is consent-based.
  • Request information about how your data has been or may have been used or disclosed during the preceding twelve months.

To exercise any of these rights, please write to us at [email protected]. We will acknowledge your request within three business days and respond substantively within thirty days, or advise you if a longer period is required.
